Booking Terms & Conditions
1. Legal
Kekayon Journeys with legal name PT. Travelhood Group Wisata is one of the legal travel companies in Indonesia registered to the Government of Republic of Indonesia with the below details:
- Ministry of Law and Human Rights – certificate number (AKTA): AHU.0024493.AH.01.01. Tahun 2016
- Indonesian Investment Coordinating Board – single business number (NIB): 912.0303.452.897

2. Reservation Process
- After the traveler indicates an agreement upon the final proposal written by email, we start the reservation process for your trip as agreed or shown in the final itinerary. Our Travel Advisor will advise the status of the reservation.
- Once all the reservation to all suppliers from our side has completely done, you must fill the booking form and the proforma invoice, which will be sent by our Travel Advisor.
Type of reservation:
- The land arrangement, Land arrangement includes tours, transports, and transfers, boat, ranger, jeep, guides, accommodation, entrance tickets, attraction, meals.
- Domestic / internal flight, The domestic / internal flight can be booked either on your own or through us. In the case of a traveler book the flight on your own, the flight schedule shall suit the flight suggestion as stated on the final proposal, and we are not responsible for the wrong flight booking schedule (date / hour of arrival and/or departure). In case you need help out from us to fix the flight schedule / route, please contact your Travel Advisor. Any cost of flight change will be your responsibility.
- International flight, We don’t make bookings for the international flight. Shall you require flight price suggestion through us, we will find a suitable flight that fits your final itinerary for your consideration. The decision is yours. The flight price may be higher due to the flight pricing policy, usually based on the booking origin.
- Additional (spontaneous) booking on the spot, Should there be any additional spontaneous booking decided on the spot when you are in the destination, in any circumstance, please contact your Travel Advisor or our ground staff to make further arrangement. You shall not fill the booking form anymore. The payment method of this type of booking will be varied and conveniently decided on the spot.
3. Filled Booking Form
The booking form is an agreement between the traveler and us with some important data and information that must be filled in. The form shall be submitted to us after the reservation from our side is complete. Our Travel Advisor will be in touch with you accordingly.
4. Your details
For us to complete your travel arrangements, you must provide all the requested details. Necessary details may vary by tour activity. The basic data required are:
- full name as per passport,
- date of birth,
- nationality,
- passport number,
- passport issue and expiry date,
- any pre-existing medical conditions you have, which may affect your ability to complete your travel arrangements.
Or easier way, you may send your copy of the passport to us.
5. Prices
All prices stated on the final itinerary are in US Dollars (USD $) or EURO (EUR €) unless otherwise indicated. Please note that prices quoted are subject to change due to matters outside our control, increasing the cost of the services we arrange on your behalf. The factors include adverse currency fluctuations, fuel costs, taxes increase. The price is only guaranteed once paid for in full by you.
Deposit and Payment Terms
All bookings are subject to these terms and conditions, as shown in the booking form. Please check your confirmation/invoice and all tickets/documents carefully as soon as you receive them and contact us immediately if you think any details are incorrect. You are required to pay a deposit to confirm all of your reservations.
- Tour (land arrangement),The deposit amount of your tour is 30% of the total amount. Normally, the payment balance must be settled 45 days before departure unless otherwise specified on the invoice.
- Flight, Airline ticket will require a full payment upon ticket issued. Should you book the flight ticket through us, you must pay fully 100% of the flight price and pay along with the 30% deposit of land arrangement.
7. Cancellation by the traveler
Cancellation of a booking by you must be made in writing. We will disregard the cancellation without written notice. Should you cancel some or all portions of your booking, cancellation fees will apply as following policy:
- more than 45 days before arrival: no cancellation charge
- between 45 and 31 days before arrival: 20% of the total amount
- between 30 and 15 days before arrival: 30% of the total amount
- between 14 and 8 days before arrival: 75% of the total amount
- less than 7 days before the start of the trip and after the start of the trip: 100% of the total amount
- no show: 100% of the total amount
- a flight cancellation charge may apply depending on the airline’s policy.
You are strongly advised to take cancellation insurance (arranged by you on your own origin country) at the booking time, which will cover cancellation fees. If you leave a trip for any reason after it has commenced, we are not obliged to make any refunds for unused services. The above cancellation fees are in addition to fees levied by accommodation providers or third-party tour and transport operator fees.
8. Cancellation by us
We may cancel a trip at any time before departure if, due to terrorism, natural disasters, political instability, or other external events, it is not viable for us to operate the planned itinerary. If we cancel your trip, you can transfer amounts
paid to:
- an alternate departure date;
- produce a travel voucher with 365 days of validity; or
- receive a full refund.
In circumstances where the cancellation is due to external events outside our reasonable control, full refunds will be given to the traveler. We are not responsible for any incidental expenses that you may have incurred due to your booking, including but not limited to visas, vaccinations, and travel insurance excess.
9. Booking amendments
If you wish to transfer from one trip to another, you must notify us at least 30 days before the proposed departure date. Transfers from one to another are only permitted where the transferee meets all the requirements concerning the trip and agreed in written by the original booking person, and transfers to another departure can only be made to a departure within the current validity period.
The booking amendment fee may apply to any charges levied by hotels, ground operators.
The passenger name of any flight cannot be transferred from one to another. The original flight booking must be canceled and refunded, then book with the passenger’s new name. The amount of refund and charge varies depending on the airline’s price policy.
10. Inclusions
The inclusion of land arrangement price among the travelers may vary. It normally includes the basic element of the trip:
- All accommodation as listed in the final proposal
- All transports (incl. car, train, fast boat, the cart) and transfers as listed in the final proposal
- Tour guide as listed in the final proposal
- Sightseeing and meals as listed in the final proposal
- Other components as specified individually on the travel itinerary
11. Exclusions
The land price of your trip does not include:
- International or internal flights unless specified
- Airport transfers, taxes, and excess baggage charges unless specified
- Meals unless specified
- Visa and passport fees
- Travel insurance
- Optional activities and all personal expenses
- Other components as specified individually on the travel itinerary
12. Optional activities
Optional activities not included in the trip price do not form part of the trip or this contract. You accept that any assistance given by the local representative in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and the activity provider.
13. Change of itinerary
While we endeavor to operate all trips as described and agreed, we reserve the right to change the trip itinerary due to local circumstances or events outside of our control (e.g., cultural ceremony, accident, third party closure, etc.) and force major.
Before departure: If we make a major change, we will inform you as soon as possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day in five of the itineraries. When a major change is made, you may choose between accepting the change, obtaining a refund of money paid on the land portion of the trip only, or accepting an alternative tour offered.
After departure: We reserve the right to change an itinerary after departure due to local circumstances or events outside our control. In such emergency circumstances, the additional cost of any necessary itinerary alterations will be covered by us.
Change of itinerary requested by the traveler: If you request one or two itinerary change(s) due to certain circumstances, e.g., sick, unwell, accident, or any special event, it must be communicated to Agency in writing. We are flexible with the change; our Ground Team will accommodate immediately with the change. The refund or additional charge may apply and will be communicated to the traveler in advance. Delivery of refund or additional charge incurred by the itinerary change to be agreed later after new service is being rendered.
14. Children Policies
- Maximum 1 child can share the parent’s existing bedding.
- Child under 2 years old is free of charge and will share the parent’s existing bedding.
- Child from 2 – 6 years old: 50% of adult price and share the parent’s existing bedding.
- Child from 7 – 12 years old: 75% of adult price and share the parent’s existing bedding. Extra bed fee will be applied upon request.
- Children from 12 years old and above will pay as adults.
- Air tickets: Airline child price policy applied.
- Please note that some suppliers may impose additional fees for infants and children. These will be advised at the time of booking.
15. Domestic / Internal Flights
The existing airlines in Indonesia are Garuda Indonesia, Batik Air, Wings Air, Lion Air, Trigana Air, Indonesia Air Asia, Citilink, and Transnusa and other smaller aircraft serving island transfer.
- Full-service carrier (bigger aircraft Boeing 737 and Airbus 320): Garuda Indonesia and Batik Air. The service includes 20 kg checked luggage, and additional can be pre-paid online or purchased on the spot upon check-in.
- Low-cost carrier (bigger aircraft Boeing 737 and Airbus 320):
- Air Asia: for a domestic route, checked luggage 15 kg is included. Additional can be pre-paid online or purchased on the spot upon check-in;
- Citilink: 20 kg of checked luggage is included. Additional can be pre-paid online or purchased on the spot upon check-in.
- Sriwijaya Air: 15 kg checked luggage is included. Additional can be pre-paid online and must be purchased through the official website or purchased on the spot upon check-in.
- Lion Air: No luggage included. Luggage can be pre-paid online or purchased on the spot upon check-in.
- Low-cost carrier (smaller aircraft ATR 72):
- Trigana: 20 kg of checked luggage is included. Additional can be purchased on the spot upon check-in.
- Wings Air: No luggage included. Luggage can be pre-paid online or purchased on the spot upon check-in.
- Nam Air: 15 kg checked luggage is included. Additional can be pre-paid online or purchased on the spot upon check-in.
- Trans Nusa: 10 kg of checked luggage included. Additional luggage can be pre-paid online or purchased on the spot upon check-in.
The luggage policy of respective airlines subject to change at any time following the airline policy. Should there be any change in the policy from the stated above, our Travel Advisor will contact you. Any additional cost of luggage will be the traveler’s responsibility.
Change, delay or cancel
In the circumstance of the flight schedule change, delay or cancel our Ground Team will inform you in advance and recommend alternative flight(s). There might be a refund / additional charge incurred due to flight change.
16. Governing Law & Jurisdiction
The law governing the contract is the law of the Republic of Indonesia. Indonesia’s courts shall resolve any dispute, controversy, or claim relating to the contract.
